About Our Client
Our client is a fast growing beauty group with major retail listings across the US, UK and Europe. Their brands sit with some of the biggest names in retail, and as the business continues to scale into new markets, they are looking for someone to own the operational engine that keeps orders moving from receipt through to invoice.
The Opportunity
This is a key role in a small, close knit Operations team, owning the execution of every wholesale order across the US, UK and Europe, along with the freight that supports it. You will manage delivery for major retail accounts, with further launches on the horizon. It is a role with real breadth and genuine ownership, in a team small enough that your impact is visible day to day. Reporting to the Director of Operations, this is a hybrid role based in central London, with at least three days a week in the office.
Key Responsibilities
- Own order processing across all wholesale accounts, from EDI to manual orders, including invoice authorisation once orders are ready
- Manage the EDI order flow for key retail partners, including purchase order acknowledgement within retailer windows
- Own retailer routing, appointment processes and vendor portal management for major US accounts
- Monitor order violations and vendor scorecard performance, running root cause analysis with factories, 3PL partners and internal teams
- Manage deduction and credit memo disputes, assembling evidence and tracking cases through to resolution
- Lead onboarding for new retail launches, including item setup, routing compliance and first order readiness
- Own freight quotation and booking between suppliers, fillers and warehouses, along with related documentation
- Track inbound shipments and escalate any slippage that could affect a customer order or launch
- Manage the day to day relationship with UK and US warehouses, including new product setup and fulfilment performance
- Act as the first point of contact for retailer queries and support commercial and brand teams on launch execution
Ideal Background
- Three or more years in order management, customer service or logistics coordination, ideally within FMCG or beauty supplying major retail
- Direct experience with US retail vendor requirements and EDI is strongly preferred
- Comfortable working within an ERP or IMS system and retailer portals, with strong Excel or Google Sheets skills
- Highly organised under volume, precise with documentation, and willing to dig into the root cause of a discrepancy
- Experience with freight documentation, customs or 3PL management is a plus
